One year into the grant, depending on the length of your grant, you will be required to submit an Annual Report (see Downloads) with original signatures of all grant holders, within two weeks of the anniversary of your award. Failure to do so will result in suspension of further payments.
If your grant is running for 12 months or less, or you are in the final year of your grant, we require a signed Final Report (see Downloads) with a financial summary, within six weeks of the end of the grant. The final quarterly payment is automatically withheld until receipt of the final report.

Extensions to your grant
If you encounter problems with your grant that may result in a delay please contact the Diabetes UK Research department immediately so a time-only no-cost extension can be discussed. It is very rare that Diabetes UK will be able to provide funding for a costed extension to your grant or supplementary awards after funding has been agreed, but please contact the Research department should you wish to discuss this.
Virement of funds
Should you wish to vire funds from one part of your awarded grant to another please contact the Research Department with full justification for consideration.
Maternity and paternity leave
Diabetes UK is not the employer of staff on the grant. The institute where the grant is administered or staff posts are held is the employer and as such is responsible for maternity and paternity leave and pay during this time.
Please contact the Research department if this type of leave is needed and they will suspend the grant accordingly, if appropriate.

Communicating your research
As you are probably aware, the research that Diabetes UK funds would not be possible without the generous support of our members and those who make donations to the charity.
Adopt a Project
The Adopt a Project scheme lets Diabetes UK supporters donate a minimum of £1,000 towards a specific Diabetes UK-funded research project, and ‘adopt’ that project.
Our supporters and Voluntary Groups generate a substantial portion of Diabetes UK’s income, through their fundraising and public awareness activities. Many of our members are particularly interested in the latest diabetes research and this scheme provides an opportunity for them to feel directly involved in a research project.
Please note that any funds given by these groups go towards your awarded total and are not top-ups to your grant. Groups are not allowed to donate directly to researchers.
Researchers may be called upon to give a presentation about their work to a group that has adopted their project. Researchers will be contacted by Diabetes UK to arrange presentations, not by the group. These talks provide our members with a unique opportunity to meet researchers and encourage the donation of money directly towards diabetes research.

Fundraising appeals
In addition to the Diabetes UK Adopt a Project scheme, your research may be profiled in marketing campaigns and other fundraising appeals. Whenever your research is associated with a Diabetes UK fundraising activity we will contact you to let you know.
These are standard fundraising techniques and in no way alter the amount of funds available for your project, whether we are able to fundraise from your research or not.
Disseminating your results
It is very important to raise the profile of diabetes research across the board. If you have a journal article going to print, have won an award, or receive coverage in local or national press, radio or television, please do not wait for your annual report to let us know – contact us at research@diabetes.org.uk.
We will not only let our supporters know but our PR and Media team can also help raise the profile of your research. Please refer to our guidelines on public relations (see Downloads).
Financial details and processes
In signing the award letter, the institute agrees to the Diabetes UK Grant Conditions and revenue-sharing agreement.
Once Diabetes UK has received an acceptance slip you will be contacted with a payment schedule and purchase order number for the grant. Please note that all invoices submitted to Diabetes UK must include a purchase order number. Please contact the Research department if you do not have a purchase order number for your grant.
Project grants, PhD Studentships and Fellowships
Project grants, RD Lawrence Fellowships, Sir George Alberti Research Training Fellowships and Studentships are paid quarterly in arrears on receipt of your invoice.
Grants are paid on profile payments (rather than actual costs) as per the payment schedule.
One year after the start date of the grant and on each subsequent anniversary, the Principal Applicant is required to submit an annual progress report to Diabetes UK. Invoices related to payments in the following year will not be paid until an annual report has been received.
At the end of the award, the Principal Applicant is required to submit a final report form which includes a breakdown of the financial expenditure incurred for the duration of the grant. A final quarter invoice can then be submitted. Any unspent funds should to be returned to Diabetes UK and if this is the case the final invoice should be reduced to reflect this.
Diabetes UK will not supplement grants that have spent more than the initial award.
Diabetes UK will honour any nationally agreed pay awards. These should be invoiced for separately at the end of each financial year. Please contact the Research department for further information.
For PhD Studentships, student fees (paid at the home rate as set by the institution) should be invoiced for separately at the end of end year.
Small grants
Small grants are paid as a single instalment after the start date of the grant and on receipt of your invoice. Any unspent funds must be returned to Diabetes UK after submission of the final report.
Equipment grants
Equipment grants are paid on receipt of an invoice. In submitting an invoice for an Equipment grant, please also include proof of purchase or a valid quote.
